Creating New Patients

Create new patient records during the instant visit workflow to register patients in the CureCompanion system.

Accessing New Patient Creation

From Visit Creation Workflow

New patients are added through the instant visit creation process:

  1. Navigate to the “Create New Visit” page (default landing page)
  2. Click the Select button under “Patient (optional)”
  3. The patient selection dialog opens
  4. Click the New Patient card (first option with + icon)

When to Create New Patients

Create a new patient record when:

  • Patient is not already in the system
  • Starting care for a first-time patient
  • Patient needs a separate record

Basic Patient Information

Required Fields

The new patient form requires minimal information:

  • First name – Patient’s given name
  • Last name – Patient’s family name
  • Gender – Select from dropdown:
  • Male
  • Female
  • Other
  • Date of birth – Click to open date picker

Completing Required Fields

  1. First Name: Type the patient’s first name
  2. Last Name: Type the patient’s last name
  3. Gender: Click dropdown and select appropriate option
  4. Date of Birth:
    • Click the date field
    • Use calendar picker to select date
    • Or type date directly in format shown

Additional Patient Information

Expanding the Form

To add more patient details:

  1. Click “Show more fields” link below the basic fields
  2. Additional fields appear below
  3. All additional fields are optional
  4. Link changes to “Show fewer fields” to collapse

Optional Contact Information

Phone Number:

  • Mobile phone number field
  • Country calling code dropdown:
  • Enter number without country code

Email Address:

  • Patient’s email for communications
  • Used for appointment notifications
  • Portal access credentials

Optional Address Information

Complete address fields:

  • Address – Street address
  • City – City or town name
  • Country – Select from dropdown
  • State – Dropdown updates based on country selection
  • Postal code – ZIP or postal code

Country and State Selection

Default Selections

  • Country may default based on facility location
  • State field updates when country changes
  • Previous selections may be remembered

Saving the Patient Record

Save Process

  1. Complete all required fields (marked with asterisks)
  2. Add optional information as available
  3. Click the blue Save button with checkmark icon
  4. System creates the patient record
  5. Dialog closes and patient is selected for visit

After Saving

Once saved:

  • Patient is added to the system database
  • Patient appears in patient lists
  • Patient is automatically selected for current visit
  • Can proceed with visit creation

Cancel Option

To cancel without saving:

  • Click the Cancel button
  • Form closes without creating record
  • Returns to patient selection dialog
  • No data is saved

Best Practices for Patient Creation

Data Entry Guidelines

Name Entry:

  • Use proper capitalization
  • Include middle names if provided
  • Avoid nicknames unless preferred
  • Spell names carefully

Date of Birth:

  • Verify with patient or documentation
  • Critical for distinguishing between patients with the same name
  • Important for medical decisions

Contact Information Importance

Why Add Contact Details:

  • Enables appointment reminders
  • Allows emergency contact
  • Required for patient portal access
  • Facilitates follow-up care

Phone Numbers:

  • Include area code
  • Verify number is current
  • Note if it’s patient’s or caregiver’s
  • Select correct country code

Address Accuracy

Complete Addresses Help With:

  • Insurance verification
  • Emergency response
  • Mailing medications or supplies
  • Demographic reporting

Avoiding Duplicate Patients

Search Before Creating

Always search first:

  1. Use patient search before creating new
  2. Try variations of name spelling
  3. Check date of birth if known
  4. Look for similar names
  5. Ask patient if they’ve been seen before

Post-Creation Actions

Immediate Next Steps

After creating patient:

  • Patient is selected for current visit
  • Can proceed to provider selection
  • Ready to create and join visit
  • Patient record is immediately searchable

Updating Patient Information

To add or edit information later:

  • Access patient through patient list
  • Click on patient card to view details
  • Use edit functions on detail page
  • Update during or after visit

Common Issues and Solutions

Form Validation Errors

If save button doesn’t work:

  • Check all required fields are filled
  • Verify date format is correct
  • Ensure names contain valid characters
  • Look for red error indicators

Technical Issues

If form doesn’t load:

  • Refresh the page
  • Check internet connection
  • Try different browser
  • Clear browser cache

If save fails:

  • Check for error messages
  • Verify all required data
  • Try saving again
