Accepting or Declining Visit Requests

As a healthcare provider on CureCompanion, you’ll receive visit requests from patients and healthcare professionals that require your response. This guide explains how to access, review, and respond to these requests effectively.

Accessing Visit Requests

You can access your visit requests through multiple methods:

  1. From the navigation bar: Click the Visit Requests icon in the top navigation bar
  2. From the dashboard: When you have pending requests, a notification appears on your dashboard showing “You have X visit request(s).” Click this notification to go directly to the Visit Requests page

Understanding Visit Request Information

Each visit request card in the list view displays:

  • Patient Name: Displayed prominently in bold
  • Patient Demographics: Age and gender shown below the name
  • Requested Date: The date for the requested visit
  • Requested Time: The time for the requested visit
  • Healthcare Facility: The facility associated with the request

When you click on a visit request to view details, you’ll see:

  • Patient Information: Full name, Patient ID, date of birth, and gender
  • Date and Time of Visit: Editable fields showing the requested date and time
  • Symptoms: Any symptoms entered by the patient or healthcare professional (may show “No symptoms entered” if none provided)
  • Action Buttons: Accept and Decline buttons at the bottom of the details view

Accepting a Visit Request

To accept a visit request:

  1. Click on the visit request from the list to open the detailed view
  2. Review the patient information and symptoms (if provided)
  3. Adjust the date and time if needed: The date and time fields are editable – you can change them before accepting
    • Date format: mm/dd/yyyy
    • Time format: h:mm AM/PM (e.g., 2:30 PM)
  4. Click the Accept button: Located at the bottom of the request details, it shows a checkmark icon followed by “Accept”
  5. Visit is immediately scheduled: After clicking Accept, you’ll be redirected to the full visit details page where you can begin documentation

Once accepted:

  • The visit is added to your schedule
  • The patient and requesting party are notified
  • You can begin adding documentation, progress notes, and medical records
  • The visit appears in your daily schedule on the dashboard

Declining a Visit Request

When you need to decline a visit request:

  1. Click on the visit request from the list to open the detailed view
  2. Click the Decline button: Located at the bottom of the request details, it shows an X icon followed by “Decline”
  3. Enter a reason in the modal dialog: A “Decline Visit” dialog will appear with:
    • A required text field labeled “Reason for declining:”
    • You must provide a reason for declining the request
  4. Click Decline to confirm or Cancel to go back
    • The Decline button in the dialog confirms your action
    • The Cancel button closes the dialog without declining the request

Common reasons for declining might include:

  • Schedule conflict with existing appointments
  • Outside your area of expertise or specialty
  • Unavailable during the requested time
  • Need to refer to a specialist
  • Emergency or urgent cases taking priority

The patient and requesting party will receive notification of the declined request along with your reason, allowing them to seek alternative care options.

Managing Multiple Requests

When handling multiple visit requests:

Understanding the List View:

  • Visit requests are displayed in a card-based list format
  • Each card shows essential information for quick review
  • Requests appear to be sorted by requested date (most recent first)
  • The page header shows “Visit Requests” with subtitle “Accept or decline requests sent by patients”

Prioritization Strategies:

  • Review requests chronologically – newer requests may be more urgent
  • Consider your daily schedule capacity
  • Check for any repeat patients you’ve seen before
  • Note the healthcare facility to ensure you can provide appropriate care

Efficient Workflow:

  1. Review the list: Scan through all pending requests to get an overview
  2. Click individual requests: Open each one to see full details before deciding
  3. Process systematically: Work through requests one by one
  4. Update your schedule: After accepting requests, check your daily visit schedule to ensure no conflicts

Note: Each request must be handled individually – there are no bulk accept/decline options available.

Dashboard Notifications

The CureCompanion dashboard provides immediate visibility of pending visit requests:

  • Dashboard notification: When you have pending requests, a prominent notification appears on your dashboard
  • Notification format: Shows as “You have X visit request(s).” where X is the number of pending requests
  • Quick access: Click the notification to go directly to the Visit Requests page
  • Real-time updates: The count updates as you accept or decline requests

Best Practices

Quick Response Guidelines:

  • Check for new visit requests regularly throughout the day
  • Respond promptly to avoid keeping patients waiting
  • Review the dashboard notification at the start of each workday

Professional Communication:

  • Provide specific, helpful reasons when declining requests
  • Be clear and professional in your decline messages
  • Consider the patient’s perspective when explaining why you cannot accommodate their request

Schedule Management:

  • Review your existing schedule before accepting new requests
  • Adjust the date and time fields if the requested time doesn’t work but you can accommodate the patient at another time
  • Consider buffer time between accepted visits for documentation and breaks
  • Keep track of accepted visits in your daily schedule view

Troubleshooting Common Issues

Request Not Loading:

  • Refresh the page using your browser’s refresh button
  • Check your internet connection
  • Clear your browser cache if the issue persists
  • Try logging out and back in

Unable to Accept/Decline:

  • Ensure you’ve clicked on the specific request to open the details view
  • Verify the request hasn’t already been processed
  • Check that all required fields are filled (especially the decline reason)
  • Refresh the page if buttons appear unresponsive

Dashboard Notification Not Updating:

  • The notification count should update after processing requests
  • Refresh the dashboard page to see the latest count
  • Navigate back to the dashboard from the visit requests page to force an update
